InfraLink System Element Statuses are created for the sole purpose of building System Element Life Cycles. See System Element Life Cycles for more information.
Creating System Element Statuses
The Instance Administrator must define a System Element Status for each and every state that System Elements under maintenance may be in.
- From the Configure menu on the top-level navigation toolbar, select Workflows, Etc from the drop-down options.
- From the configuration options along the left side of the screen, click the arrow next to System Elements and select Statuses from the drop-down menu. This will open the System Element Statuses dictionary.
- Click the New button at the top of the top of the screen. This will open the New Status window.
- Name the new System Element Status. Use a name that will clearly convey the status context or characteristics.
- Assign a Color to the new status by selecting an active color from the drop-down menu or selecting a new color using the Edit Color button. Note: The color assignments provide a visual representation of System Element Statuses within the User Interface for effective grouping and interpretation of the data.
- Assign an Order number for purpose of sorting statuses within the dictionary.
- Note: Assigning staggered Order values (e.g., 5-10-15, 10-20-30, etc.) allows for the insertion of future statuses which will then sort with similar statuses within the System Element Statuses dictionary.
- Assign Status Reasons, if desired. Assigning reasons to a System Element Status allows (or requires) Users to provide additional information (i.e., context) when transitioning a System Element to this status. For example, an “Out of Service” status may be used for multiple reasons, such as “Renovation” or “Design Modification”.
- Check the box next to Required Reason Specification only if a reason selection should be mandatory for the status.
- Check the box next to Allows Release Date only if the status is exceptional or temporary and an anticipated date for the resumption of work needs to be recorded (e.g., a device held in the "Planned" status until a <Release Date> for installation).
- Under the Business Logic section, check the box next to each behavior that will apply to the new System Element Status.
- Note: Reference the table below for guidance on each option.
- Enter a Description for the new System Element Status. The status description should provide enough detail to inform the appropriate use of the status within future life cycles.
- Click OK to create the new status. The new status will be listed in the System Element Statuses dictionary.
Status Business Logic | Purpose/Description |
---|
Allow Release Date | For exceptional or temporary statuses, this setting allows the user to enter an anticipated end date for the state. |
Automatically Create SEs per Configuration Template |
|
Consider Deployed | This setting works with a setting of the same name within PM Group configurations. Applying this business logic to certain System Element statuses and within the PM Group configuration will restrict the scope of that PM to only those System Elements that meet all other PM Group criteria and presently exist in a deployed state. |
Require Release Date | For exceptional or temporary statuses, this setting requires the user to enter an anticipated end date for the state. Note: When selected, the Allow Release Date Business Logic will be enabled automatically. |
Require Asset Installed | An Asset record must be deployed to (i.e., associated with) the System Element to transition into this status. |
Cloning a System Element Status
In some situations, the creation of a new System Element Status may be quickly accomplished by cloning an existing status. This option is most often utilized when a User needs a new status that only slightly varies from an existing status. Since System Element Statuses are defined at the Instance level, modifying an existing status for a new or unique need is not practical due to the global impacts. Instead, you would create a clone of the existing status, incorporate the necessary modifications, and save as a new System Element Status with a unique name.
- From theConfigure menu on the Top-Level Navigation toolbar, select Workflows, Etc from the drop-down options.
- From the configuration options along the left side of the screen, click the arrow next to System Elementsand select Statuses from the drop-down menu. This will open the System Element Statuses dictionary.
- Select the existing status you wish to clone. It will highlight in blue.
- Click the Clonebutton of the top of the screen. This will open the Clone Status Details and selections will mirror that of the existing status
- By default, the form will list the Nameas "Copy of <selected status>". Enter a new System Element Status name that is clearly distinguishable.
- Update the status Colorby selecting an active color from the drop-down menu or selecting a new color using the Edit Color Note: The colors assigned to System Element Statuses provide a visual representation of statuses within the User Interface, for effective grouping and interpretation of the data.
- Assign a new Order number for purpose of sorting statuses within the dictionary. Note: Assigning staggered Order values (e.g., 5-10-15, 10-20-30, etc.) allows for the insertion of future statuses which will then sort with similar statuses within the System Element Statuses dictionary.
- Update status Reasons,if desired. Note: Assigning reasons to a System Element Status allows (or requires) Users to provide additional information (i.e., context) when transitioning a System Element to this status. For example, an “Out of Service” status may be used for multiple reasons, such as “Renovation” or “Design Modification”.
- Check the box next to Required Reason Specificationonly if a Reason selection should be mandatory for that status.
- Check the box next to Allows Release Date only if the status is exceptional or temporary and an anticipated date for the resumption of work needs to be recorded (e.g., a device held in the "Planned" status until a <Release Date> for installation).
- Make any necessary changes to the cloned Business Logic selections as needed for the new System Element Status.Check, or leave checked, only the boxes next to behaviors that will apply to the new status. Reference the table above, in the "Creating System Element Statuses" section, for guidance.
- Update the status Description. It is helpful to include how this status differs from the existing (i.e., cloned) System Element Status.
- Click the OKbutton to save the new System Element Status. The new status will be listed in the System Element Statuses dictionary.
Editing a System Element Status
Once a System Element Status is created, it can be edited by an administrative User with the necessary permissions. System Element Statuses are edited much the same way as they are created.
- From the Configure menu on the Top-Level Navigation toolbar, select Workflows, Etc from the drop-down options.
- From the configuration options along the left side of the screen, click the downward arrow next to System Elements and select Statuses from the drop-down menu. This will open the System Element Statuses dictionary.
- Select the status which requires edit.
- Click the Edit button at the top of the top of the screen. This will open the Edit SE Status form.
- Make changes as necessary.
- Click OKto save your edits.
Deleting a System Element Status
Due to the global nature of System Element Statuses, they cannot be deleted.
