The second Organizations subgroup, Manufacturers and Vendors, represents the Organizations associated with Materials Inventory and Assets.
This article discusses the following topics related to the management of Organizations.
Manufacturers and Vendors Grid View
Manufacturers and Vendors records are manually created, viewed and edited from the Manufacturers and Vendors grid view, which employs the standard viewing pane layout.
To access the Manufacturers and Vendors grid view:
- From the top-level navigation toolbar, select the Main Menu.
- Select Manufacturers and Vendors from the Inventory Management stack.
Filters - Filters along the left side of the view allow users to refine the Manufacturer and Vendor records displayed within the grid view.
Organization Details Panel - Selecting any manufacturer or vendor from the Manufacturers and Vendors grid view will open the corresponding Organization details panel along the right side of the viewing pane. The details panel displays the Organization's basic identifying information (e.g., name, abbreviation, description), followed by the Mailing Address and Contact Information. Please note that External Status only applies when the record was imported from Contract Management System (CMS).
Creating Manufacturers and Vendors
Manufacturers and Vendors records can be created manually or bulk-imported as part of a bulk Assets import. To manually create and manage Manufacturers and Vendors records:
- Click on the Main Menu within the top-level navigation toolbar.
- Select Manufacturers and Vendors from the Inventory Management stack to open the Manufacturers and Vendors grid view.
- Click the New button from the grid commands at the top of the grid view. This will open the New Manufacturer/Vendor form.
- Enter the Name of the Manufacturer/Vendor. The Name value must be unique.
- Enter an Abbreviation for the new Manufacturer/Vendor. Be sure the abbreviation is self-explanatory and easily distinguishable from other Manufacturers and Vendors records.
- Enter a Description of the new Manufacturer/Vendor.
- Expand the Contact Information section by clicking the arrow.
- Click the Add Point of Contact button to add information for a Manufacturer/Vendor representative.
- Enter all known information (e.g., name, title, phone, email, etc.) for the point of contact into the fields provided.
- To enter multiple Manufacturer/Vendor representatives, repeat step 8 as needed.
- Expand the Mailing Address section by clicking the arrow.
- Select the Manufacturer/Vendor's Country from the alphabetized drop-down menu. Subsequent form fields may vary by Country selection.
- Populate fields with all known details of the Manufacturer/Vendor's mailing address.
- Once you have entered all known information, click OK to save the new Manufacturers and Vendors record.
- The newly created Organization will now be listed within the Manufacturers and Vendors grid view, as well as the All Organizations grid view.
Bulk Import of Manufacturers and Vendors
Manufacturers and Vendors records can be created as part of a bulk Assets import. See the Assets Import section for more information on the bulk import of Assets. When importing Assets, if the Manufacturer associated with an Asset does not match an existing Manufacturers and Vendors record in InfraLink, a new record will be created.
Editing Manufacturers and Vendors
Over the life of a Contract, a manufacturer or vendor may relocate its headquarters or assign new sales representative to your account. InfraLink allows authorized Users to quickly access and edit a Manufacturers and Vendors record.
- Click on the Main Menu within the top-level navigation toolbar.
- Select Manufacturers and Vendors from the Inventory Management stack to open the Manufacturers and Vendors grid view.
- Search by Name or Abbreviation within the Filters panel to locate the desired manufacturer or vendor.
- Select the desired Manufacturers and Vendors record from the grid view. This will open the Organization Details panel along the right side of the viewing pane.
- Click the Edit button from the grid commands at the top of the grid view or in the top right corner of the Organization Details panel.
- Edit or add to the Organization's information as needed.
- Click OK to save your changes.
Deleting Manufacturers and Vendors
- Click on the Main Menu within the top-level navigation toolbar.
- Select Manufacturers and Vendors from the Inventory Management stack to open the Manufacturers and Vendors grid view.
- Search by Name or Abbreviation within the Filters panel to locate the desired Manufacturer/Vendor.
- Select the desired Manufacturers and Vendors record from the grid view.
- Click the Delete button from the grid commands at the top of the grid view.
- InfraLink will ask if you are sure you want to delete the selected record.
- Click Yes to delete the Organization.
